Whilst this might be classed as an improvement, it has only added extra unnecessary steps into our process.
We are not an IT literate team and use various MS Forms to collect information from internal and external sources. With the branching questions, we have used 200 questions but not all of them are visible to the end user.
We're able to get most of the information needed to save time and partially load it into our systems from the Excel forms, but because it's easier to read responses we take individual copies of all forms. These are used to fill in the gaps.
With the new process, the administrators have to manually open the Excel versions multiple times throughout the day, before they can take copies of the forms. They then have to carry out checks on what has/hasn't synced.
We weren't notified of this change in advance of it going live, so we lost data for several days. A lot of time was spent trying to work out what was happening and give the administrators new processes to something which had been unchanged for five years.
Similarly, the option to change and 'hide' the print a PDF copy of the responses by whoever was completing the form, continues to cause extra work as internal/external workers need to be advised that they need to click the ellipsis rather than having a dedicated button labelled 'Save as PDF'.
