Universal Print secure release with QR code now on iOS and Android.

Secure release helps maintain user privacy and reduce waste and cost from unnecessary printing by holding print jobs until users are at the printer. Universal Print secure release with QR code is now supported on both Android and iOS.

Security for a fraction of the cost with secure release with QR code

Microsoft understands that security and privacy are top concerns. When it comes to printing, organizations want to prevent the disclosure of sensitive information at the printer, which can happen if a document is printed before a user is at the printer to collect it.

This is where secure release comes in. Secure release is the ability to prevent a printer from printing a document until the user goes to the printer to “release” it. Not only does secure release provide security and privacy benefits, it also reduces waste and cost from uncollected printouts.

Unlike other secure release solutions like badge release, which require high-end printers and badge readers, QR code release works as long as your end-users have the Microsoft 365 app on their mobile devices and are authenticated to Microsoft Entra ID (Azure AD).

How it works

To enable secure release with QR code for any printer in the organization, the IT administrator must configure the release type for the printer (i.e., “QR code”) in the Universal Print portal. This generates a QR code for the printer, which the admin then attaches to the physical printer.

Once configured, people in the organization can send print jobs to the configured printer, and release the print job by scanning the QR code on the printer with the Microsoft 365 app.

Note: Rarely pay for additional print jobs again when you have Microsoft 365 E3 and E5. These subscriptions come with 100 print jobs per user per month, pooled for the tenant.

    Is there any development being done to allow an option to prompt the user as to whether they want to send the print job as a secure release QR job or "print now" and send the job without the need for securely releasing it?  We really like the ability to secure print with the QR code release, however there are a lot of times not all of our users need to secure print like this all the time, and it becomes cumbersome if they just need the job to print right now.

    For us scanning the QR code opens either Apple or Google store with the search result of the Office365 app prompting the user to download the app first to release the job. QR code does not open a webpage for myself or any of my colleagues.

    I have the O365 app, and when I scan the QR the O365 app > Print jobs opens on my phone

    Regarding questions for a webpage instead of the QR code, the QR code links to a webpage (also shown on the QR code generation page). You can give your users this link, or deploy a browser favorite for it so they can release their jobs from any authenticated device. JoshBent rishidshah

    Great idea - but the only option i have is to scan the QRCode using a phone. If i am working in a secure environment i would need to give everybody corporate Azure managed phones, otherwise i would have to have a conditional access policy that allowed them to login into the Azure secure environment from a personal device which is a very bad security idea. 

     

    Is there no way to release the print job by authenticating from a user access device which sent the print job in the first place? For instance i walk up the printer with my Azure joined User access device and authenticate the print job by visiting an azure webpage?

    This is great! Nice work guys, just wondering if there will be a method of approving your print without having to install the app? Say a webpage where you click "send to printer"?
