Outlook 365: Duplicate conference room names showing under locations

We recently changed our conference room names and since that time, we've noticed that some of our users are seeing multiple entries for conference rooms. When the users attempt to select the room on the location tab or required tab, they are seeing duplicates of the same rooms.  This is only happening when the users are selecting the room from the location tab. If they go to Room Finder, there is only one instance of the room. The issue of course is that most people just use location and do not go into Room Finder as it creates an extra step. I have looked at multiple sites on this and the solution they quote involves changing the registry, but we don't have the registry option that these solutions point out. We also don't want to have to manually do a registry change for every individual having this issue.  Has anyone come across this and if so, how did you resolve it? one more thing, we are also experiencing this in Outlook web.

  • Have experienced this same issue. When the UPN and Places data updates, this causes the duplicate. The only fix is to go to OWA and remove the "bad" duplicate (for us this is the one with wrong Places data). Unfortunately this needs to be done for every room.

I had a ticket open with Microsoft, they said the only thing that can be done is to wait 30-45 minutes after updating the UPN, to then update the Places data. I have a 60 minute wait period in my script. This then ensures the rooms do not duplicate.

Can you help explain how you fixed it in OWA? I don't see where I can do so and I've been trying through EOL and Powershell. We have duplicates that are referencing older email addresses for the room and no longer exist but it won't go away.

Each one puts a different email in the invite but when using get mailbox in powershell, they all pull the same object

To fix the issue for yourself, you would have to go to your OWA and enter the room and when you hover over the "bad" room, an 'x' will appear and that will clear it from your list. This only fixes for yourself. There is no way to fix for everyone.

Note that you would need to start waiting 60 minutes between the room name change and the setting of places data to prevent this from occurring again.

I am experiencing the exact same issue after updating Place information on several meeting rooms.

There is no issue when searching for Attendees in Global Address List (GAL), but when searching in "Location" I get duplicate meeting rooms, where one of the objects is "dead" and referencing to an older "version" of the object/meeting room.

I had the same issue (running hybrid). The affected room mailboxes were migrated to EOL but the objects were left in AD onprem. Deleting the onprem objects and recreating the rooms in EOL solved the issue.

I really don't want to delete the objects and recreate them. I would also need to migrate the history before deleting them.

It's not totally out of the question as I have a migration tool ready, but I would prefer not to...

I'm updating this post after spending most of the day troubleshooting through trial and error. Like many of you, we were also experiencing duplicate room names. Even though we operate in a hybrid environment, our rooms exist only in O365.

I initially tried clearing caches, deleting registry keys, resetting calendar caches, and removing suggestions in OWA, but none of these resolved the issue. Eventually, I discovered that the duplicate room entries had outdated legacy email references listed under their UPNs.

To fix this, I removed all the old email references, keeping only the primary SMTP address, the Office 365 email address, and the SIP email address. After making these changes and waiting a few hours, the issue was resolved! (Images below to help anyone needing visual assistance).

I hope this helps the community—it's not immediately obvious that this would cause the issue we experienced.

khatcher26 No, we had/have to recreate all of the rooms. Did you import your rooms from Notes or another program?
