organize mails by 'only me in to', 'in to with others', in 'cc'

Hi,

I would like to organize newly received mails as follows:

The mails for which I'm the only one in the 'To' I want to read first and I want to list at the top of the inbox.

The mails for which I'm in the 'To' together with other persons I want to list underneath.

The mails for which I'm in 'Cc' I want to list at the bottom.

Is the above possible? If yes, how do I do it?

Thank you for your help!

Regards,

Kristel

    There are several ways to achieve this request. You can combine categories with rules or color-code emails.

    Option 1: Categories & Rules Option (best option)

    Step 1 Create three categories:

    • Apply a name and choose a color for 00 Only Me, 01 With Others, and 02 CC.
    • Numbering your categories will help with the sort order.

    Step 2 Create three rules

    View | View Settings | Mail | Rules | Add a Rule

    * Rule Name: Give your rule a name; same as categories

    * Add a Condition: My name is [select your choice]

    * Add an Action: Assign to [category]

    * Save

    Repeat these steps for each scenario.

    Step 3: Test and Run Your Rule

    Press Run Rule Now to test your rule for one category. Depending on the number of messages in your inbox, allow enough time for the rule to run. If you are happy, run the others.

    If you change the name of your category, you must update the rule accordingly.

    Step 4 Sort by Category
    Now, you can sort your emails by Category, which will group your items by Category. For your information, you can apply multiple categories to an email, which will be grouped separately and will not impact your rule.

    To keep your inbox-by-date order, click on the category tag from the Message pane to display all assigned messages or add the category to your favorites.

    Option 2: Color Code your Emails

    With this option, you can apply conditional formatting to color code your emails where you are in the cc line. To my surprise, there are no options for 'only me' or 'me and others.' Also, it will not sort or group them. At least you can visually identify these emails by color.

    View | View Settings | Mail | Conditional formatting | Add a Rule

    * Name your rule

    * Select a Condition under My name is [choice]
    * Select a Color
    * Save
