Retention Policy

I have a requirement to retain and delete Exchange Online email >7 years old for the majority of our user base but also need to retain email for a subset of users indefinitely and exclude Share Mailboxes completely. The solution I was thinking of is as follows; Create a Purview Adaptive Scope which with a query of RecipientTypeDetails -eq 'UserMailbox' which will return only User mailboxes and exclude Shared Mailboxes. Create an Adaptive Retention policy using the adaptive scope in point 1 which will delete all Exchange Online email >7 years. Create a Purview Adaptive Scope which with a query of the UPN of the users we need to keep email indefinitely for. Create an Adaptive Retention policy using the adaptive scope in point 3 to retain email My question firstly, is this a valid solution and secondly will the retain policy take precedence over the delete policy even though the users will be in both policies. Thanks In Advance ChrisSolved44Views0likes3CommentsAuto retention label policy does not work in SharePoint Online
I have created an auto retention label policy and ran and tested it in simulation mode two weeks back, but when I run the same policy with the same query in simulation mode, it does not give any matching result; always it comes with 0 matches found. However, when we test the same query in SharePoint Online search, it gives a result. The policy is completing on time; sometimes it takes hours to days to complete, but sometimes it completes on time as expected. What could be the reason? Are you also facing similar issues? I understand that when I have the Purview Retention Policy set to Never Delete, that I can't fully delete any SharePoint Online sites. If I add the sites I want to remove to the Exclude list of the Policy, how long does it normally take for that change to propagate before I have permissions to be able to delete those excluded sites?96Views1like0CommentsIssue with deleting an M365 group - Can't remove the excluded group from retention policy
We have a retention policy in place for all groups within the org. To my understanding should a request come in from a user asking to delete a Teams SharePoint site, we have to add the group attached to this SharePoint site to the excluded list within our Group retention policy. This then removes the retention from the SP site so we can then delete the site which also deletes the group. When I then try to remove the group from the excluded list in the retention policy it errors as the group no longer exists within the tenant. Due to this, the policy then ends up in an 'error' status. How do I get the policy to a status of success? After running tests, the only way I have been able to remove the group from the excluded list in the retention policy is to restore the group but this of course restores SharePoint site which is back to square one. Am I missing a trick here? How can this be by design if not? Thanks507Views0likes2CommentsCreating a 7-day retention policy to target recordings and transcripts only
Hi everyone! As the title says, we are trying to create a 7-day retention policy that would target transcripts and recordings only without affecting emails and other mailbox artifacts. So this policy would have to delete the recordings and transcripts only after 7 days. Is there a way to do this? Thank you!Solved613Views0likes1CommentMail retention policy for Archive M365 Data Lifecycle Management
Hi, I want to apply an email retention policy such that, the emails in the mailbox are retained for 3 years and get deleted and the mail in the archive is there for 5 years and get deleted. Now, I have enabled a retention policy through Data lifecycle management-> Microsoft 365. The policy will retain emails for 3 years and after that, the emails will be deleted. But, the issue is that this policy is being applied to the archive as well and I want to exclude the archive so that the archive will have a different policy- email retention for 5 years, could someone please suggest how to achieve that using Data lifecycle management-> Microsoft 365? This is what the policy looks like in my archive email:Solved2.4KViews0likes8CommentsHow record managers know which records are got deleted after the end of retention?
After retention period when document is going to delete disposition review will get start and document will get deleted. But after sometime if record manager(not admin) wanted to see that what documents were deleted in past is there any way? If I check in Microsoft Purview there i can see disposition history for a label. But how record manager can see that information without involving admin? Are there any custom solutions available to achieve the same thing? Is it possible to collect signatures from the disposition reviewers? Either OOB or custom or third party integration.
