Changing email providers, Can I just change server settings

We own 2 domains, mkchambers.net and mkchambers.com. Mkchambers.net is hosted at company A mkchambers.com is hosted at company B. Our email is hosted at company A, so our email addresses are ***@mkchambers.net. The web base email program company A uses allows to use alias email addresses, so we aliased everyone’s email address to ***@mkchambers.com. When we setup everyone’s email in Outlook 2019 we used ***@mkchambers.com for their email address. We are planning to switch our email host to company B so our email addresses won’t change they will still be ***@mkchambers.com. The question I have is will we need to export everyone’s email, setup a new email account in Outlook 2019 and then import the emails, or since the email addresses will be the same can we just change the server setting in Outlook to company B’s settings.

I am leaving an update to my question. Before we changed email providers, we exported our OST files to PST files. Then we just changed the server settings and Outlook connected to our new email provider. We did not have to setup a new profile. But when we logged into the new email providers server the Outlook client synced to what was on the new email providers server which was nothing, so we had to import the PST file. It would have been much easier and faster if our Outlook clients had synced what was in the OST file up to the new server, but I guess that is not how it works. Thanks for the reply's

I guess I should have added that our Outlook is the 2019 desktop version, it is not the 365 version and is setup as IMAP. We've already talked with company B and they said they will not migrate our emails from company A. What we are thinking is since our email addresses will not change, we can change the server settings and when Outlook connects to company B's email server our Outlook will sync and all of the emails on our computers will upload to company B's email server. And yes, we will be backing up our Outlook files before we start just in case.

Yep, that might work, test it on one pc and just keep in mind, syncing up will take a long time the first time.

      Keep me updated!

  • As I don't know the companies, I would think that you have to migrate the email from A to B email host and probably start new Outlook profiles when you migrate the backedup PST from company A (either way, make full backup of the inbox and calendar/contacts/tasks just in case). It's best to call the companies though as each email host has different system folders/setup. It might be that easy though to just change the server settings.
