Built-in "People" Term Group, how values are been populated and can we use it inside SharePoint

Inside any SharePoint online we have a term group named "People", and each tenant will have different values under the term sets, here are the values from one tenant:-

 

and on my test tenant where i only have one user with "Software Develop" title, i got those values:-

 

 

so I have those 3 questions, regarding this "People" term group:-

  1. How those values/terms are been populated? automatically from AD, based on the users' profiles?
  2. Also can/should we modify the underlying terms manually? for example add new department such as All, or delete existing job title? or we only should keep this been managed automatically ?
  3. Also inside a site collection, we need to tag different documents with departments. and to do so, we want to create a managed metadata column, so should we link this managed metadata column to the built-in Department term set? or create out own term set to store the departments manually?

Can anyone advice on those 3 questions please?

    that's correct, this information comes automatically from Entra ID. 


    I recommend that you do not use this default termset, but create your own. This is controllable and can be used and adapted as required.

      thanks for the reply, but why you suggest creating our own term set? i mean if we use this built-in one , we do not have to worry about maintaining the department terms? am i correct? unless there are drawbacks i am unaware of.

        Hi johnjohn-Peter 

        in most cases, it has far too many entries, including outdated ones. To provide users with only active, valid terms, we often create our own termset. Feel free to use the existing one.
